Commercial trailer hire can cover a planned fleet peak, a contract start, seasonal demand, workshop downtime or a one-off requirement for equipment that an operator does not keep permanently. Collection and return inspections should record condition, tyres, fittings and supplied equipment. Agree where collection and return take place, permitted use, mileage or geographic limits where relevant, servicing arrangements, breakdown reporting and cleaning expectations.

Roadworthiness and operator responsibilities

Hiring equipment does not transfer every operating responsibility to the owner. The DVSA Guide to Maintaining Roadworthiness covers hired, loaned and leased vehicles as well as trailers. The hirer should understand who schedules maintenance and safety inspections, who keeps records, how defects are reported and what evidence must be available.

Drivers still need the appropriate entitlement and must complete the required vehicle and trailer checks. Coupling, brakes, tyres, lights, body condition and load security cannot be assumed from the fact that a trailer has just been collected.

Insurance, damage and breakdown terms

Ask what insurance the hirer must arrange, what damage waiver or excess applies and who is responsible for tyres, glass, misuse, recovery and loss of use.
